We also use data such as email for tracking purposes. Hashed email lists are used to create targeted advertising for our fundraising and campaigning activities on social media and web platforms. Hashing means that data such as email addresses are turned into unreadable codes for security and privacy during data transfer. We delete the hashed data after a short period of time and it's not used for any other purpose.

This helps us reach new people who share similar characteristics and interests with our cause, without bothering those who have already engaged with us. It's both cost-effective and helps us grow the movement.

We may also use social media advertising tools to target people who have shown an interest in wildlife and nature. This helps us inspire new people to take meaningful action for nature and to create an inclusive society where nature matters.

 

Data Retention Policy

a) Security
All of the personal data we process is processed by our staff in the UK. However, for the purposes of IT hosting and maintenance your information may be situated outside of the European Economic Area (EEA). This will be done in accordance with guidance issued by the Information Commissioner’s Office.

Electronic data and databases are stored on secure computer systems and we control who has access to information (using both physical and electronic means). Our staff receive data protection training and we have a set of detailed data protection procedures which personnel are required to follow when handling personal data.

b) Payment security
All electronic Derbyshire Wildlife Trust forms that request financial data will use the Secure Sockets Layer (SSL) protocol to encrypt the data between your browser and our servers.

If you use a credit card to donate, purchase a membership or purchase something online we will pass your credit card details securely to our payment provider (Stripe; PayPal). Other payment methods (e.g. ApplePay) are handled in a similar manner.

Derbyshire Wildlife Trust complies with the payment card industry data security standard (PCI-DSS) published by the PCI Security Standards Council, and will never store card details.

Of course, we cannot guarantee the security of your home computer or the internet, and any online communications (e.g. information provided by email or our website) are at the user’s own risk.

c) Data retention policy
We will only use and store information for as long as it is required for the purposes it was collected for. We continually review what information we hold, and delete what is no longer required.

Social Media Policy

We encourage commenting and love to hear your thoughts, see your photos and share your experiences. We do however have some guidelines in order to ensure that you have a good experience on our Facebook, Twitter and Instagram pages:

  • We ask that you stay on topic, respect other people’s opinions and avoid profanity, offensive or defamatory statements and illegal content.
  • Comments which include bullying or advertising or which are considered "spamming" (posting unrelated content or regularly posting duplicate posts) will be removed where possible and in extreme circumstances the person responsible may be blocked from commenting.
  • We aim to keep our pages as friendly as possible, however if you see anything you think is inappropriate you can tell Facebook using the "Flag" option Facebook provides or report a tweet on Twitter.
  • All intellectual property rights of content we post belong to Derbyshire Wildlife Trust. Anything which you submit to the Facebook, Instagram or Twitter page may be shared elsewhere in whole or in part, either by us or by other users.

Please note that our social media pages are managed at intervals during the week, during office hours.

By signing up to one of our advertised events/give aways you are agreeing to further communications from Derbyshire Wildlife Trust about upcoming events, projects and opportunities. You can unsubscribe from this at any time.

Advertising  

Depending on your settings and the privacy policies for social media and messaging services like Facebook and Twitter, you might give us permission to access information from those accounts or services. For example, we occasionally participate in Facebook’s “Custom Audience” program which enables us to display adverts to our existing or potential supporters via Facebook. We provide personal information such as your email address to Facebook to enable them to determine if you are a registered account holder with Facebook. Our adverts may then appear when you access Facebook and on your Facebook feed. Your data is sent in an encrypted format that is deleted by Facebook if it does not match with a Facebook account. Membership payment for this offer is via Direct Debit only. After the initial Half Price offer has ended, the subscription rate will automatically upgrade to full price.
